How Do I Bulk Import/Export Shipping Costs For Past FBM/FBA Orders
Overview
If you handle FBM orders, you are responsible for shipping and will incur shipping costs. You can also manually add shipping costs for FBA orders. If you do not record these costs, your overall profit will be overstated.
SellerLegend provides a bulk upload process to manage shipping costs across all your orders via Excel.
Recommended Process
- Select the marketplace you want to work in (repeat once per marketplace)
- Download the Shipping Costs spreadsheet template
- Open the file in Excel and amend shipping costs for the orders you want to update
- Upload the modified file back to SellerLegend
- Check for upload error messages and correct any errors
- Repeat upload until accepted without errors
- Spot check by verifying a sample of modified orders
How to Download the Shipping Report
- Go to Sales → Orders and click the Reports button (top right)
- In the download section, select report type FBM Shipping
- Choose the account
- Choose FBM orders only or All Orders (if you want to update FBA orders as well)
- Click Download
- Go to Reports → Exported Reports and wait for status to show DONE
- Click the Actions button and select Download
How to Upload Shipping Costs
- Go to Sales → Orders and click the Reports button
- In the upload section, select report type Shipping Cost
- Choose the correct Account ID
- Select your modified Excel file
- Click Upload
- Go to Reports → Imported Reports to check the outcome:
- DONE — file imported without errors
- DONE_WITH_WARNINGS — file contained errors. Download the result file; erroneous entries appear in red. Hover over fields to see error messages.
Excel File Format
Every row must follow this format:
| Field | Excel Header | Notes |
|---|---|---|
| Amazon Order ID | amazon_order_id | Mandatory — must be a valid, existing order number |
| Shipping Cost | shipping_cost | Mandatory — decimal number (e.g., 12.34) |
| Miscellaneous Costs | miscellaneous_costs | Mandatory — decimal number (e.g., 0.17) |
Excel File Rules
- On first download, shipping and miscellaneous costs columns will be zero
- You cannot assign costs to orders not yet recorded in SellerLegend
- Deleting a row will not delete the order or change its existing shipping cost
- The file must have a header row with the exact column titles above
- The file must have only one tab and no cell formulas
- If you used lookup formulas to assign costs, copy/paste values in place before uploading
TIP
This bulk method is for past or current orders. To set shipping costs for future FBM orders, see How Do I Enter Shipping Cost For Future FBM Orders.
